Development Partners Operational Guidelines

  • Policy for setting new or revised application or pages live
We don’t set things live after 2:00pm Mountain time because it is too risky to put things live late in the day without enough time for clients and/or partners to review thoroughly before the end of our normal business day.

  • Policy for handling discrepancy between different resources
It is not uncommon for a project to have several threads of emails, various conversations on the phone, and preliminary and “final” versions of image proofs. Many times there will be conflicting differences between the various versions. We generally don’t start production of major new pages that are not designed in house (by Kopavi) until we have what we are told is the final, approved proof in layered PSD format. For maintenance or minor revisions to an existing page an email outlining changes in a numbered list with any new images if applicable is fine.

For new pages or applications if there are differences between what we are given as the final approved proof and an email or conversation our policy is to follow the visual representation. If there are things on the image that need to be done differently than the image indicates, the image must be annotated documenting the discrepancies or we need to be sent a new proof which will supersede the previous one and this new image, (unless annotated) will be treated as the new complete design. It is not safe or practical to have several versions of images with different things in different images to be treated as the “approved” version.

For maintenance work where the changes do not require a full mock up proof of the page we need an email or word document with a numbered list (please use a numbered list rather than just bullets) of the required revisions and any exact text changes. If there are discrepancies between different emails and/or phone conversations the most recent revised full list of changes will be considered the “correct” change. Comments brought up in phone conversations but not documented on the list will not be considered action items until the list has been updated or these are added to a separate list of new “additional” changes.
